Responsibilities

• Coordinate all administrative aspects of tenders and proposals.
• Screen and select tenders aligned with strategic goals.
• Maintain templates, format bid materials, and manage a central document library.
• Ensure document control, versioning, and accurate filing systems.
• Distribute tender updates and maintain data for timely reporting.
• Maintain Project Master List and Timesheet/Sign-On records, including onboarding, role changes, and crew movements.
• Accurately enter and verify timesheet data; submit payroll files per schedule.
• Coordinate vendor pre-starts, weekly project reports, and other site documentation.

Skills & experience

•  3-5 years industry experience in a similar role
• Relevant qualification in appropriate discipline e.g. Cert IV in Business Administration, or equivalent demonstrated competency.
• Well-developed interpersonal and communication skills (written and verbal) with the ability to build positive working relationships at all levels.
• High level of proficiency and expertise using document management systems, Adobe and Microsoft Office Suite (SharePoint, Word and Excel in particular).
• Developed time management skills to effectively manage competing priorities and meeting deadlines.
• Strong leadership skills with the ability to effectively work both within a team and autonomously, be proactive and able to use initiative.
• Problem solving skills, high attention to detail and self-discipline.
