About the Role
As ourIntake Administrator, you’ll be the first point of contact for all incoming NDIS enquiries across South Australia, Victoria, and Queensland. You’ll manage the intake process from initial enquiry to lead creation, ensuring a smooth and supportive experience for participants, referrers, and internal teams.
This role is pivotal in maintaining high service standards and ensuring timely, accurate, and compassionate intake coordination.
Key Responsibilities
- Respond to phone, email, and online enquiries with professionalism and empathy
- Manage intake inbox and allocate tasks using VisualCare
- Collect and organise client documentation, including service agreements and schedules
- Create and manage leads, coordinating with state teams to confirm service capacity
- Collaborate with marketing to maintain accurate referrer records
- Prepare intake snapshots and support KPI reporting
- Conduct follow-up calls with new participants to ensure satisfaction and service quality
- Work closely with state intake coordinators to maintain consistent practices
What We’re Looking For
- Proven experience in administration or client-facing roles, ideally within NDIS, healthcare, or disability services
- Strong organisational and time management skills
- Excellent communication and customer service abilities
- High attention to detail and accuracy in data entry
- Proficiency in Microsoft Office and client management systems (VisualCare experience a plus)
- Ability to work collaboratively across remote and office-based teams

- Accurate and prompt data entry and lead creation

- Positive feedback from internal teams and referrers

This role offers flexibility to work remotely or from one of our offices in SA, VIC, or QLD. You’ll be part of a supportive national team committed to delivering high-quality services to NDIS participants.
