The role
At FISHBOWL, we believe strong growth is built on strong foundations - and that includes the spaces we operate in. As a Property Management Assistant, you'll support our expanding network of restaurants across Australia and play a vital role in ensuring our physical locations are set up for success.
In this standalone role, you’ll report to the Head of Property Management and work closely with our operations, restaurant, and finance teams to support the ongoing management and optimisation of our Australian restaurant portfolio. From lease administration to site performance reporting, you’ll assist with the day-to-day coordination and long-term planning required to keep our restaurants running smoothly.
Skills and experience
You'll have:
- 3+ years property management experience
- Exceptional communication skills, both written and verbal
- Advanced Excel skills
- Prior experience managing budgets (desirable)
- Strong problem solving abilities and comfortable working independently
- Characteristics reflective of FISHBOWL’s ethos: self-motivated, positivity, service-oriented, flexible, and ethical with a high degree of integrity.
Your tasks
New restaurant openings
- Place equipment orders and coordinate delivery to restaurants
- Set up utility accounts (e.g. electricity)
- Coordinate periodic servicing post-opening
- Update internal registers (e.g. landlord contact register, asset register)
- Coordinate defect rectification with builders
- Ensure trade waste agreements are in place.
Existing restaurant support
- Coordinate and track service calls and maintenance requests
- Maintain scheduled servicing for HVAC and refrigeration systems and electrical test and tagging
- Update maintenance and service registers
- Support budget management related to restaurant repairs and equipment (e.g. making informed recommendations on repair vs. replacement)
- Organise replacement equipment and delivery coordination with restaurant leaders.
Lease administration
- Monitor timelines to ensure documentation is lodged and finalised promptly
- Maintain the lease register with current information.
General property administration
- Manage the Property inbox - triaging and responding to all non-financial queries
- Record minutes during fortnightly Property team meetings
- Liaise with landlords and property managers to resolve operational issues
- Prepare purchase order (PO) requests related to Property expenditure.
