ABOUT THE ROLE:
Reporting to the Service Admin Lead and supported locally by the QLD Service Account Executive, we are seeking a self-motivated and organised Service Administration Officer – Level 2 to join our team in Lytton, QLD.
This is a key role within the service department, supporting both internal stakeholders and external service partners to deliver efficient and accurate job coordination, customer support, and administration. The position will be responsible for Level 2 service administration duties while assisting with Level 1 support as needed.
WHAT’S INVOLVED:
- Allocate work orders to local Service Agents, including raising purchase orders
- Order and coordinate parts for company-requested work orders
- Review and close completed service jobs (internal and external)
- Support the Service Account Executive with preparing and issuing quotations
- Raise and review purchase orders and invoices
- Follow up on outstanding part returns and restock of unused parts
- Liaise with despatch for delivery coordination
- Assist with Level 1 overflow, including customer enquiries and work order creation
- Provide excellent service to customers, technicians, and agents
- Complete accurate data entry and general admin as required
YOU WILL NEED:
There are a few essential tools you will need under your belt to be successful in this role:
- 3+ years’ experience in service administration or a customer-facing admin role
- Confidence using Microsoft Office, especially Excel and Outlook
- Strong organisation, time management, and communication skills
- Experience working in a technical or trade service environment (advantageous)
- A collaborative, proactive attitude and a passion for delivering great customer outcomes
