Job Description
Based in Sydney, the Systems Manager will act as the central point of contact within the business for the governance, coordination, and oversight of key systems used within TOMRA Collection APAC including, but not limited to, ERP, CRM, project management tools, back-office platforms, and customer-facing portals.
Acting as the conduit between local operations + IT within TOMRA Collection + Group IT + Group Security, this role ensures that system usage aligns with company policy, is secure, compliant, and fit for purpose.
The role involves direct line management of the System Administrators and cross-functional collaboration with Finance, Group IT, Core Service, Technical Support and operational teams to ensure robust systems governance and clear operational ownership across the business.
Some of the duties you may perform include:
- Act as the primary liaison between local operations and Group IT to define responsibilities, manage escalations, and align on governance practices.
- Manage the ERP-project, consulting with all APAC users of the system, report to the project Steer Co, identify assessment criteria and acting as the main point of contact with the Global ERP team
- Oversee and coordinate vendor relationships in line with global policies, ensuring service levels and compliance requirements are met.
- Product Owner for major business systems
- Lead the development and documentation of system governance frameworks, including workflows, access controls, data ownership, and change management processes.
- Ensure system data integrity and compliance with internal and external security policies and standards.
- Manage and support System Administrators responsible for hands-on system administration and user support.
- Maintain an accurate inventory of systems, license terms, usage, and associated risks or renewals.
- Collaborate with all Teams using the systems to ensure systems support business needs and are embedded effectively within team processes.
- Classify key data sets and assign ownership for stewardship, integrity monitoring, and compliance tracking.
- Coordinate system-related incident reviews, ensuring issues are documented, root causes identified, and communication to relevant stakeholders is clear and timely.
- Prepare regular reports on the performance of systems to share with stakeholders
- Develop and maintain clear escalation processes for system-related issues, and ensure teams understand and consistently follow these protocols.
- Schedule regular system maintenance and updates in alignment with vendors and IT, ensuring that any planned downtime is communicated clearly to all affected stakeholders with minimal disruption to operations.
- Ensure the Systems team is both operationally engaged and strategically aligned, contributing directly through system-related tasks (e.g. site setups, user setups, data checks), while also overseeing and supporting other departments in their system use.
- Drive continuous improvement by identifying opportunities to streamline processes, eliminate inefficiencies, and enhance the value delivered by each system across the business.
- Implement group wide principles, policies and Governance requirements, ensuring consistent application of Corporate IT standards and governance across operations
- Set strategic direction for Systems within the business
- Manage common assets for TOMRA Collection, operate and maintain shared IT systems and services
- Design and maintain the Enterprise IT architecture, ensuring scalability, integration and alignment with strategic goals
- Perform lifecycle management of IT solutions
- Implement IT solutions, deploy IT systems that support business operations, ensuring alignment with business needs
Qualifications
What makes a great Systems Manager at TOMRA:
- Min 4 years in a systems coordination, IT operations, or digital governance role, ideally within a multi-stakeholder or matrixed organisation.
- Qualification in information systems, Business Systems, Computer Science, or a related field - or equivalent work experience.
- Demonstrated experience in systems governance, IT coordination, or digital operations.
- Certifications or training in PowerBI, Salesforce, Jira, Monday.com and/or other similar systems.
- Experience working within or alongside a global IT function, especially in environments where responsibilities are split between local and central teams.
- Proven track record of implementing or refining system governance, access control, and data integrity processes.
