The Role
We’re looking for a proactive Team Assistant to join our Sydney team. You will provide top-notch administrative support to the Chief Financial Officer, Chief People Officer and their teams in their day-to-day operations.
What you’ll do
- Diary management for 2 Executives, schedule meetings and coordinate appointments.
- Draft, edit, and format correspondence, reports, presentations, and other documents.
- Organise and maintain filing systems, both physical and digital.
- Screen incoming calls, emails, and other communications on behalf of executives.
- Manage various administrative tasks, including expense processing and management.
- Arrange logistics for meetings and coordinate staff conferences, social functions, and Board and staff dinners.
- Prepare agendas, take minutes, and follow up on action points.
- Manage and coordinate travel arrangements and itineraries.
- Manage and coordinate training requirements.
- Assist in the planning and execution of projects and initiatives and liaise with internal departments and external stakeholders on a variety of projects.
- Ad-hoc duties as required, including aspects of office management.
We are looking for someone who is confident in supporting multiple stakeholders and prioritising their requirements. You will bring the following key skills:
- Experience in an administrative or executive support role.
- Intermediate to advance proficiency in Microsoft 365 applications.
- Experience in using corporate travel partners, such as ATPI.
- Experience with coordinating events, including liaising with internal and external vendors for catering and supplies.
- Ability to exercise discretion when handling sensitive information and ensure confidentiality.
- Some understanding of the financial services and / or superannuation industry is nice to have but not essential.
