Job Description: We are looking for a highly organised and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for a wide range of administrative and office support activities to facilitate the efficient operation of the organization.
Responsibilities:
- Answer and direct phone calls with excellent customer service
- Organise and schedule appointments
- Write and distribute email, correspondence memos, letters, faxes, and forms
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system
- Update and maintain office policies and procedures
- Order office supplies and research new deals and suppliers
- Maintain contact lists
- Submit and reconcile expense reports
- Provide general support to visitors
- Act as the point of contact for internal and external clients
- Prepare quotes and invoices
- Coordinate work with handymen and other stakeholders such as plumbers, electricians, and tilers
- Utilise CRM, accounting, and other relevant software
Requirements:
- Proven experience as an Administrative Assistant or Office Admin Assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organisational skills with the ability to multi-task
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
- Experience with CRM and accounting software
- Strong customer service skills
- Patience and an outgoing personality
- Ability to coordinate effectively with various stakeholders

Pay: $50,000.00 – $60,035.41 per year
