Reporting to the New Machines Mining Manager, The Administrator Service Operations is responsible for providing a high level of administrative support to the designated area/store/team/branch.
Roster: Mon – Fri 8.5 hours per day (including unpaid meal breaks)
Location: South Guildford, WA
What you’ll do:
- Provide high-level administrative support to designated teams, branches, or stores.
- Coordinate and monitor Quality Assurance audits to ensure compliance with WesTrac policies and procedures.
- Manage site mobilisation requirements, including induction arrangements and daily timesheet accuracy.
- Encode and price external items onto work orders, ensuring correct documentation and processing.
- Handle purchase requisitions and oversee the end-to-end purchasing process.
- Maintain accurate time capture reporting and archive management systems.
- Facilitate training requirements and support safety and contamination control audits.
- Build and maintain strong relationships with internal stakeholders and external customers
Skills and Experience:
- Proven experience in administrative support within a fast-paced operational or service environment
- Strong understanding of compliance, auditing processes, and quality assurance standards
- Proficiency in data entry, time capture systems, and managing purchase requisitions
- Excellent attention to detail with the ability to manage multiple tasks and meet deadlines
- Solid communication and interpersonal skills for engaging with internal teams and external stakeholders
- Familiarity with safety protocols, induction processes, and site mobilisation procedures
- Competence in using business systems and software (e.g., ERP platforms, Microsoft Office Suite)
- A proactive, problem-solving mindset with the ability to work independently and collaboratively
