About the role
We have an exciting opportunity for a Business Support Services Administrator to join our friendly Melbourne office. It is an important role as you are the first point of contact for visitors and clients to DCC and DCCL.
The role is 8.30am-5pm, on site, in beautiful new offices, centrally located in the CBD at 500 Bourke Street, close to trains and trams.
Key responsibilities:
- Greet and welcome all clients, employees and visitors attending the office providing a smooth and positive experience.
- Managing calls to the office (via Teams) promptly and professionally, ensuring messages are distributed in a timely manner.
- Support the business services coordinator in the smooth running of the office environment including maintaining office supplies, kitchen supplies and liaising with building management.
- Assist with event coordination, working with the organisers in regard to food and beverage requirements, including contracted services and event set up and pack down.
- Assist with office security, managing security passes and records.
- Effectively manage meeting rooms, ensuring they are equipped with necessary IT and audio-visual resources.
- Assist with Business Support Services projects and provide administrative support to other areas of the business and team members as required.
About you
- You bring a minimum 12 months experience in a front-of-house, receptionist or business services role. Ideally with experience in a corporate setting/professional services environment.
- Strong interpersonal and communication skills, with an ability to communicate with people at all levels in a professional manner.
- Bring a proactive and highly organised approach to your work.
- Take pride in setting a high standard and maintaining confidentiality.
- Demonstrate strong problem solving skills with a can-do attitude.
- Excellent customer service skills with internal colleagues, external clients and visitors.
- Are a team player who enjoys building relationships and can work independently.
- Experience with all Microsoft Office products, Word, Excel and Powerpoint.
- Have an interest in process improvements that could benefit the office environment.
- Flexible and adaptable to changing priorities with a calm and practical approach.
