The company is a small world leading technology developer who conceives and develops a range of technology from critical messaging equipment to financial market devices and musical synthesisers. It has won many design awards over its 30 years in business and its equipment is used across Australia and the world. While modest in size, the team is highly creative and entrepreneurial. It needs candidates who are multiskilled, adaptable and share our ‘can do’ attitude.
The Role
This is a varied role including everything from creative design and social media management to simple accounts processing, executive support and general administrative duties – hence the description of Creative Allrounder! The role is based in Belrose on the beautiful Northern Beaches of Sydney and it would best suit someone who live locally. A minimum of 3 days is required, alternatively full time work is avalable. There is some flexibility with working hours including some working from home subject to the projects being undertaken and a requirement to be on hand to undertake administrative tasks at the office.
Core Activities
- Schedule Management: Coordinate the CEO’s calendar, meetings, and travel across multiple time zones.
- Communication: Support the CEO in all aspects of communication management including monitoring, responding and triaging email.
- Social Media & Web: Manage the social media accounts and web site including creating content and campaigns.
- Event Management: Organise and coordinate industry international trade shows and related stakeholder engagement.
- Accounting: Simple Xero accounting functions such as invoicing and payment preparation.
- Meeting Support: Prepare briefing documents, agendas, and minutes, and follow up on action items.
- Project Coordination: Track key initiatives to ensure deadlines are met, acting as a liaison between the CEO and other stakeholders.
- Communication: Draft internal and external communications, memos, and reports on behalf of the CEO.
- Confidential Support: Handle sensitive information with the highest level of discretion.
- Administrative Tasks: Manage expense reports, document preparation and other executive-level tasks.
The Candidate
Our ideal candidate is someone who enjoys a range of varied tasks and is capable with a clear head. The profile might include someone with executive EA experience who wants a wider range of activities, including design and social media – or someone who has been self-employed and loves the varied work in a fast paced environment. An interest in music and keyboards/synthesisers would be very valuable, but not critical. A good understanding of technology is important.
Key skills and qualifications will include:-
- Excellent written and verbal communication skills.
- Good computing skills (MS Office Intermediate, Google Workspace, Zoom etc.).
- 3+ years of relevant experience in executive support and administration.
- Exceptional organisational, time-management, and project coordination skills.
- High emotional intelligence and professional judgment.
- Ability to work independently, anticipate needs, and take initiative.
- Flexibility and adaptability in a fast-paced environment.
- Experience in a software, technology or startup is highly desirable.
- Experience with synthesizers, keyboards, or musical instruments would be a bonus.
