Job Description
As we continue to grow and innovate, we’re looking for a highly motivated Executive Assistant to support our Director of Franchise Operations APAC and provide vital operational coordination across our high-performing team.
This is a great opportunity for a self-driven, proactive EA to provide high-level executive support, managing sensitive matters with professionalism and discretion, and support the broader Franchise Operations team in staying aligned, productive and on track with strategic priorities.
What You’ll Do
Executive Support
- Manage and coordinate calendar, travel, meetings, and communications ensuring optimisation of time allocation, specifically for a Director with high travel requirements.
- Prioritise and triage emails and requests to ensure the Director is focused on critical matters.
- Prepare reports, presentations, briefing docs, and agendas for internal and external meetings.
- Collaboratively support leadership and meeting preparation and follow-up.
- Act as the key point of contact for internal and external stakeholders on behalf of the Director.
Office Management
- Act as the ‘go to’ person for GYG’s Brisbane head office operations, including the key point of contact for visitors, deliveries, maintenance, cleaning, building management & security.
- Manage the order and receipt of supplies for the QLD office, including stationery, food & drinks, cleaning supplies etc.
- Create welcome packs for new hires, including managing merchandise and restaurant uniform stock levels, as well as the office seating plan, building access codes etc.
Team Coordination
- Coordinate team calendars, meetings and use of project management tools.
- Manage the Franchise Operations team annual leave calendar and approvals.
- Coordinate end to end event management on a national level, for events relating to Franchise Operations, including travel and collation of presentation materials.
- Manage budget tracking and maintenance within the Franchise Operations team.
What We’re Looking For:
- At least 3-5 years previous PA or EA experience.
- Proactive, resourceful, and solutions focused.
- Outstanding organisational skills and attention to detail.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Strong relationship-building skills with the resilience to navigate a fast-moving business.
