Team Leader - Senior Medical Appointment Unit
"We’re not just a team—we’re a powerhouse of creativity, collaboration, and good vibes. We’re proud of the work we do and the people we do it with. We’re currently looking for a Medical Administration Officer to join our team. If you're organised, proactive, and ready to jump in and contribute to a supportive and dynamic environment, we’d love to hear from you."
Be part of something bigger supporting our hospitals by connecting the right doctors to the right roles when it matters most.
We’re on the lookout for a motivated, detail-oriented, administration professional to join our Senior Medical Appointments (SMA) team and the broader Medical Recruitment Services team at HNELHD.
In this fast-paced, process-driven role, you’ll support a range of projects that strengthen medical recruitment across our district. You’ll also assist with preparing employment offers, contract documents, payroll setup for senior doctors, data entry, and maintaining our systems.
This is a fantastic entry-level opportunity for someone looking to grow their career in a supportive, safe, and collaborative workplace. You’ll be trained and mentored by a committed team who’ll guide your orientation and development every step of the way.
Who Are We?
Medical Recruitment Services plays a vital role in ensuring our hospitals and health services are staffed with high-quality medical professionals when and where they’re needed most.
Our dedicated teams work together to deliver a seamless, district-wide approach to medical recruitment, placement, and workforce management:
- Senior Medical Appointments (SMA): Manages recruitment, credentialing, and onboarding of permanent and fixed-term senior medical officers, ensuring clinical compliance and accurate recording of appointments.
- Senior Medical Recruitment (SMR): Acts as a central point of contact, working with doctors, health services, and agencies to coordinate recruitment processes, credentialing, compliance, onboarding, and relocation - including support for domestically and internationally trained doctors. This includes the Medical Settlement Concierge team, which helps doctors and their families settle into our communities.
- Senior Medical Locum & Recruitment Unit (SMLMU): Coordinates the placement of senior medical locums across our facilities to fill critical service gaps and maintain patient care standards.
- Junior Medical Locum Management Unit (MLMU): Supports junior doctors with locum placements and assists health services with timely junior medical workforce solutions.
- Our goal is to simplify the recruitment process - making it easier for hospital, services and doctors to join us and for health services to access skilled clinicians. Whether for a short-term locum, a permanent specialist role, or critical interim coverage, Medical Recruitment Services helps keep care at the heart of HNELHD.
This position is based at the HNE Corporate Office at Waratah Campus, a key hub for departments including Human Resources, Recruitment, Finance, Procurement, and Work Health & Safety. Free onsite parking is available, and the campus is within walking distance of local shops and restaurants.
You’ll be hands-on with:
- Coordinating credentialing, compliance, and appointment processes
- Managing documentation and delivering a seamless recruitment experience for candidates
- Supporting large projects focused on ensuring senior medical doctor compliance and improving systems and onboarding
- Working closely with Recruitment, Senior Doctors, and hospital teams across HNELHD
We’re looking for someone who:
- Thrives in a busy, fast-paced environment
- Has excellent attention to detail and a love of learning, no two days are ever the same
- Brings solid administration skills and is ready to take the next step in their career
- Holds relevant qualifications and/or experience in business administration
- Can build strong working relationships and has strong interpersonal skills
- Manages priorities well, even when faced with a complex workload
- Has an interest in healthcare (a bonus, but not essential)
- Takes initiative and works well both in a team and independently
Why Join Us?
- Be part of a small, high-functioning team that will support your learning and development
- Gain valuable exposure to medical workforce matters across the district
