As we continue to expand, we are seeking an experienced, dependable, and proactive Medical Administrator to join our small, supportive, and collaborative team.
About the Role
Reporting directly to the Practice Manager, the Medical Administrator will play a key role in ensuring the day-to-day operations of the clinic run smoothly. This role requires someone who can work independently, manage multiple priorities under pressure, and contribute to a positive patient experience.
This position may begin as part-time or casual and will be negotiated to a full-time role based on performance and clinic needs.
Key Responsibilities
- Greet and assist patients both in person and over the phone
- Manage appointment scheduling and bookings for face-to-face and Telehealth consultations
- Process billing for Medicare, private health, and other third-party payers
- Maintain accurate patient records and perform data entry in the practice management system
- Coordinate referrals, medical reports, and correspondence with specialists and hospitals
- Provide administrative support to doctors and senior staff
- Maintain a clean, organised, and welcoming reception and waiting area
- Manage incoming emails, mail, and general office tasks
Skills & Experience
- Minimum 1 year of experience in medical administration or medical reception (essential)
- Strong customer service and interpersonal communication skills
- Proven ability to work independently and handle stressful situations professionally
- High attention to detail and commitment to accuracy
- Sound understanding of Medicare processes, private billing, and medical terminology
- Proficiency in medical practice software and Microsoft Office suite (or willingness to learn)
- Demonstrated reliability, discretion, and ability to handle confidential information
- Strong long-term career commitment and interest in growing with the clinic
