Position Overview:
We are seeking an experienced and highly organised Office Manager to join our multidisciplinary team. The successful applicant will work closely with our Practice Manager to oversee the day-to-day operational functions of our clinic, with a particular focus on financial administration, workflow coordination, and enhancing service accessibility to culturally diverse communities.
Key Responsibilities:
- Oversee and coordinate daily office operations to ensure efficient workflow and patient service delivery
- Instruct and supervise staff in administrative and reception duties (alongside the Practice Manager)
- Manage accounts payable/receivable, invoicing, banking, and reconciliation
- Maintain accurate financial records and assist with budget preparation and reporting
- Liaise with third parties including Medicare, private insurers, legal firms, and compensation agencies regarding payments and authorisations
- Provide high-level customer service to patients and stakeholders, including conflict resolution and feedback management
- Assist in expanding service access for culturally and linguistically diverse communities, particularly those speaking an Asian language
- Support the Practice Manager in onboarding and training of new staff, and maintaining clinic standards and compliance
- Assist in refining and enforcing clinic policies, procedures, and workflows
- Perform other duties typical of a medical practice office manager role (e.g., calendar coordination, documentation, policy maintenance)
Essential Criteria:
- Demonstrated exceptional organisational skills and attention to detail
- Proven ability to supervise, instruct, and delegate tasks effectively to administrative staff
- Accounting or bookkeeping experience, ideally in a healthcare setting
- Experience in liaising with third-party payers, including compensation agencies, law firms, and insurance providers
- Bilingual proficiency, with preference for an Asian language (e.g., Mandarin, Cantonese, Vietnamese, Korean, etc.)
- Strong interpersonal and communication skills, with a focus on patient-centred service
- Familiarity with medical practice software, billing, and administrative processes typical of a specialist clinic
- Ability to work independently and collaboratively within a structured team environment
Working Relationships:
- Reports to: Practice Manager
- Works alongside: Practice Manager, Doctors, Administrative and Clinical Staff
- Directly supports and supervises: Reception and administrative team (approx. 8 staff)
