We have an exciting 13-month contract opportunity to appoint a Personal Assistant to support the General Manager of Strategic Procurement and the National Indigenous Engagement Manager and their respective teams.
About the role
Based in our Sydney Head Office as a Personal Assistant, you will be supporting the leaders by playing a critical role in ensuring the smooth operation of the team as well as assisting with the strategic goals of the business unit. This role will be diverse and will see you managing a range of competing tasks
Your responsibilities will include but not limited to:
- Provide high-level, proactive administrative support to the leaders, ensuring seamless execution of strategic and operational priorities.
- Manage complex diaries, anticipating needs, prioritising commitments, and aligning schedules to maximise executive effectiveness and business outcomes.
- Monitor and manage email communications for the leaders and their team, identifying critical issues, escalating urgent matters, and ensuring timely, strategic responses.
- Plan and manage all domestic and international travel for the business unit, ensuring alignment with policy, cost efficiency, and minimal disruption to executive workflows.
- Process and reconcile expenses in accordance with corporate policy, ensuring accuracy, compliance, and timely reporting.
- Support the development and maintenance of systems, procedures, and internal controls that enhance administrative efficiency and governance.
- Prepare high-quality presentations, reports, and complex documents with a focus on clarity, consistency, and alignment with strategic messaging.
- Raise purchase orders and process invoices in line with procurement policies, ensuring timely vendor engagement and financial compliance.
- Lead the onboarding process for new team members, coordinating IT setup, site access, stakeholder introductions, and first-day experiences to ensure a smooth transition.
- Maintain accurate and up-to-date contact records in Salesforce, supporting stakeholder engagement and relationship management.
- Coordinate and prepare for key meetings, including agenda development, presentation preparation, minute-taking, and proactive follow-up on action items.
- Manage logistics for business unit events, conferences, and functions, including catering, venue coordination, and agenda planning, ensuring cost-effectiveness and brand alignment.
- Support the delivery of strategic initiatives and special projects, ensuring alignment with business goals and timely execution.

With exceptional attention to detail, you are proactive in identifying solutions, committed to achieving quality outcomes and can naturally prioritise a busy work schedule. With excellent communication and MS Office skills, you are someone who builds trusting working relationships with your peers, managers, and stakeholders.
