About the role
The Timetabling Coordinator role is responsible for developing, managing, and optimising academic timetables of all courses (VET and HE), ensuring maximization of space across all campuses.
This role involves actively coordinating with various stakeholders to meet academic needs and deadlines, while optimising the use of resources.
Key Responsibilities
- Create and publish the academic calendar including census and financial liability dates.
- Prepare, publish and maintain examination timetables utilising a range of systems and spreadsheets.
- Support the Student Administration Manager in the creation of courses in SIS.
- Ensure rooms are allocated to achieve maximum usage capacity across all campuses and scheduling conflicts are resolved appropriately.
- Ensure class sizes are maximised to meet the room capacity and/or approved academic class caps.
- Establish and maintain collaborative working relationships with academic and campus operations teams to create and revise course offerings; set up courses in the student information systems and create classes.
- Support Student Administration Manager with projects relating to timetabling solutions.
- Support the enrolment process through the creation of timetables that strikes a balance between effective space utilisation, student preferences, course progression and academic staff availability.
- Support the recruitment and enrolment strategies of the group, ensuring timetables are developed and published in line with recruitment timelines, enrolment scheduling and academic governance processes.
- Allocate rooms for ad hoc events bookings.
- Manage relationships with third parties for room rental.
- Monitor and produce timetable related reports. For example, class sizes, and building capacities
Education, Experience & Skills
- Qualification in relevant field
- Previous experience in timetabling/scheduling role preferably in the education sector.
- Experience using timetabling applications and intermediate to advance Excel skills.
- Demonstrated ability to investigate, identify and analyse key issues and associated alternatives, benefits, and costs to develop practical solutions (consider creative and innovative cost-effective solutions).
- Demonstrated understanding of requirements associated with regulatory frameworks, including the Higher Education Standards Framework (Threshold Standards) 2021, Standards for RTO’s 2015, and the National Code of Practice for Providers of Education and Training to Overseas Students 2018.
- Proficiency in Microsoft Office365
- Positive attitude and ability to think creatively and bring innovation to EDU and its subsidiaries

- Excellent interpersonal skills with the ability to work autonomously and in a team
