Primary objective
To provide a high level of administrative support to the District Manager, Primary Health Care Manager and health staff working in the
Prison Health and Watch house setting.
Context statement
Working collaboratively with the multi-disciplinary primary health care team, this position will contribute towards the health service
delivery of persons in custody at Darwin Correctional Centre and Police Watch houses. The successful applicant should possess a current
manual driver’s license or be eligible to obtain same and will be required to meet the NTCS security clearance requirements and meet the
Police, Fire and Emergency Services security clearance requirements.
Key duties and responsibilities
1. Provide professional office administration and secretarial support for the District Manager, Primary Health Care Manager and other
health staff working in the Prison Health and Watch houses setting.
2. Provide professional receptionist support as the first point of contact for internal and external communication.
3. Establish and maintain administrative control systems to record and monitor the flow of incoming and outgoing correspondence.
4. Book appointments for clients and communicate arrangements to relevant staff.
5. Use current IT systems (e.g. PCIS and IOMS) to provide information to Health professionals as requested.
6. Follow defined service quality standards, work health and safety policies and procedures relating to the work being undertaken in
order to ensure high quality, safe services, and workplaces.
7. Foster a positive workplace culture through exemplary leadership practices and role modelling behaviour.
Selection criteria
Essential
1. Demonstrated work experience within an administrative role at this level.
2. Well-developed oral and written communication skills with a pleasant phone manner, the ability to communicate effectively and
develop relationships with clients, peers, and other departmental officers.
3. Well-developed organisational skills including the ability to prioritise and complete a number of tasks concurrently within established
timeframes while exercising initiative and attention to detail.
4. Knowledge and experience in focusing on client needs and providing a friendly and efficient service.
5. High degree of professional integrity, discretion and confidentiality and ability to negotiate in sensitive matters where discretion and
confidentiality are critical.
6. Demonstrated work ethic with the ability to apply initiative and solve practical problems.
7. Knowledge of word processing and computers, particularly software applications such as Microsoft Office.
8. Awareness, understanding and knowledge of procurement and travel processes.
Desirable
1. Administration Officer extensive experience in a custodial setting.
2. Knowledge of the NTPS procurement and travel processes, and relevant NT legislation, including the Public Sector Employment and
Management Act and related legislation.
