THE ROLE
The Executive Assistant provides executive management support to the Child protection Director and provides a pivotal point of contact for key stakeholders from a diverse range of government, private, public and community service sectors. The Executive Assistant is a key coordinating link between the Child protection Director, the area, division, government, Members of Parliament, minister's offices and senior department management.
ACCOUNTABILITIES INCLUDE
- Provide a range of effective executive support functions, including: accurately managing the Director's diary; providing quality support to committees, working groups and meetings, including progress reports on outstanding matters; and preparing reports, briefs and correspondence.
- Arrange meetings and conferences, including coordinating papers, organising venues, agendas, taking minutes and follow-up actions and making travel and accommodation arrangements.
- Coordinate emails from the Barwon Directorate to answer queries, provide timely advice, undertake follow up action as required.
- Coordinate workflows, responses to complaints, Ministerial briefings, Victorian Ombudsman enquiries and responses to other formal matters as requested and the management of related systems including Feedback Management, Our Briefings and the department's records management system.
- Undertake general administration duties as necessary that supports the effective operations of the Child Protection Director and more broadly the Barwon Child Protection Area.
