We're looking for a highly organized and proactive Executive Assistant/Secretary to provide comprehensive support to our executives and ensure seamless office operations.
Key Responsibilities
- Executive Support: Manage executive calendars, coordinate meetings and events, prepare reports and correspondence, handle confidential information, act as a liaison, manage communications, and arrange travel.
- Office & Operations: Oversee office administration, assist with CRM and record-keeping, optimize processes, audit calls/messages, analyze sales data, coordinate project trades, address accounting queries, support recruitment, and schedule staff meetings.
- Other: Handle ad-hoc tasks and special projects. Travel between sites as needed (valid driver's license required).
Qualifications
- Experience: Minimum 3 years as an Executive Assistant or Senior Administrative professional.
- Technical Proficiency: Advanced proficiency in Excel, Google Workspace, Microsoft Office, CRM, and Calendar management.
- Skills: Exceptional organizational skills, attention to detail, strong communication and interpersonal skills, ability to multitask in a fast-paced environment, professional and confident, proactive, resourceful, and solution-oriented.
Other Requirements
- Must be willing to work in person at the Melbourne office.
Job Type: Full-time
Pay: $65,000.00 – $70,000.00 per year
Schedule:
- 8 hour shift
- Monday to Friday
- Weekend availability
