Your role as the Executive Assistant is responsible for providing dedicated executive level assistance to the Chief Technology & Data Officer (CTDO), working closely with the Head of CTDO Office and Team Coordinator to support the day-to-day operation of the Data, Technology and Delivery (DTD) function.
Key responsibilities include:
- Provide comprehensive executive support to the CTDO, managing communications, prioritising issues, and coordinating complex activities to enhance operational efficiency.
- Organise and facilitate high-level meetings and events (all hands, LT offsites and the annual whole of team offsite), including agenda development, logistics, and follow-up actions to enable effective collaboration and governance.
- Maintain secure records of team documentation, project artefacts, and financial reporting, ensuring compliance and accessibility within appropriate management systems.
- Process expenses, assist with budget monitoring, and prepare high-quality documents, including presentations and reports, handling technical and sensitive information with confidentiality.
- Foster clear communication within the DTD team and across the organisation, supporting the DTD leadership team as needed and contributing to a culture of safety, initiative, and responsibility.
- Provide project coordination support and undertake additional duties as required, demonstrating flexibility and commitment to organisational priorities.
- Where appropriate, support the DTD Team Coordinator in their administrative support to the DTD leadership team (inc. four General Managers).
Qualifications
- Business Administration / Management qualification (or equivalent)
- Experience in providing executive support services at a senior level
- Demonstrated ability to effectively plan, prioritise and organise
- Agile and adaptable; able to operate in fast paced environment and adjust to changing priorities
- Advanced Microsoft Office skills including Word, Excel, Teams, Co-Pilot and PowerPoint
- Genuine interest and passion to learn, utilise and realise the benefits of AI adoption
- High degree of confidentiality and interpersonal sensitivity
- Stakeholder management
- Commercial awareness and internal / external customer focus
- Excellent time management skills and ability to manage competing demands
