What this job involves:
Delivery of the Facilities Team’s services to operate and maintain the AustralianSuper Portfolio with a focus on the Commercial tenancies.
Role delivery includes designated financial, technical, maintenance, procurement, asset and vendor management programs, and to provide facilities administration duties in accordance with company policies, procedures and processes.
It is critical for this role to engage with stakeholders across the business to ensure that service delivery expectations are met without introducing financial or tenure risk.
Duties & responsibilities:
- Build strong client relationships - Develop and maintain relationships with occupiers and clients to exceed service expectations
- Deliver property services - Provide comprehensive customer and property services to the portfolio
- Conduct building inspections - Complete regular inspections and reports within required timeframes
- Ensure compliance - Maintain adherence to regulations, client contracts, and facility procedures
- Manage information - Organize and analyze data for senior management presentations
- Support leadership tasks - Assist with additional duties and temporary site management as needed
- Drive continuous improvement - Contribute ideas to enhance portfolio operations and efficiency
- Coordinate vendor work - Liaise with suppliers and manage facility works with clients and building management
- Monitor Help Desk performance - Track service outputs against KPIs and report to stakeholders regularly
- Promote teamwork - Foster collaborative environment focused on performance excellence across the portfolio
What we are looking for:
- Facilities/property experience - Prior background in facilities management, property management, or similar field preferred. Need to have a least 3 years of Facilities Management experience.
- Health & safety knowledge - Understanding of local OH&S requirements and critical facility systems management
- Technical systems knowledge - Basic understanding of HVAC, chillers, fire protection, and electrical systems is beneficial
- Project experience - Hands-on experience with office relocations, defect management, and vendor contract management
- Administrative skills - Strong front and back-office process experience, ideally in facilities management
- Customer service focus - Excellent people skills and ability to work with diverse client needs and staff levels
- Technology proficient - Strong computer skills and experience with work order management systems
- Reporting experience - Proven ability to prepare and deliver client reports effectively
- Team player - Enjoys working as part of a high-performing collaborative team
- Vendor management - Experience managing specialized service providers and contract amendments
