About the role
As a Junior Team Administrator, the core purpose of this role is to provide support to the admin team, ensuring the seamless operation of daily tasks and aiding our Practice Manager, Client Service Coordinators and Team Administrators (Offshore). The Junior Team Administrator role supports the seamless flow of essential documentation and communication by managing communications, assisting with ATO processes, and facilitating client onboarding and offboarding.

What you’ll be doing
- Attend to physical mail daily, including collection, sorting, scanning and distribution (internal/external clients)
- Liaise with Client Service Coordinators or relevant accounting team members with queries Physical Mail – outgoing
- Prepare documentation (e.g. letters)
- Coordinate with Operations Team for correspondence to go out as needed ATOmate
- Assist the Offshore Team Administrators with processing and follow up any documents
- Check ATO Portal to confirm payment plans / debt for processing documents
- Send and follow up ATO forms (BAS, IAS, FBT, etc) as well as other documents for signing, as required
• Review and update ATO debt reports • Request payment arrangements, as required
- Maintain client records in practice management systems and all external client records (e.g. ATO, ABR, etc.), ensuring data accuracy
- SharePoint maintenance
- Update the ATO Portal and any other external systems
- Coordinate filing of any permanent documents (onboarding)
• Provide additional support to the Client Service Coordinators and Team Administrators (offshore) when requested. • Perform various administrative tasks as required by the Practice Manager
Working closely with an experienced Client Service Coordinator (CSC) your role will include:
- Assisting with the support of 4 Directors including diary management, travel plans and client contact schedules
- Some organising and managing board meetings, including preparing agendas, circulating papers.
- Providing administration support to the CSC on Corporate Compliance management, including entity set ups and registrations
- Preparing proposals and engagement letters for clients and assist and engage with our amazing clients
- Managing client onboarding and offboarding process including CRM management, Corporate Compliance as well as handling new client leads
Requirements
We want to hear from people who have:
- Minimum 1 years of relevant work experience as a client services administration based role.
- Familiarity with relevant software and tools, such as Microsoft Office Suite, and CRMs
- Ability to work in a busy and dynamic environment while having fun.
