The Personal Assistant is responsible for the smooth and efficient operation of the Manager’s office. Key duties include diary management, handling correspondence, scheduling meetings, supporting reporting processes, maintaining filing systems, preparing purchase orders, and coordinating invoices. This role also contributes to internal projects, customer service functions, and ensures effective communication between the Manager and other departments, staff, and external stakeholders.
You’ll be working across a broad portfolio that includes Construction and Development Services, Facilities Maintenance Services, Building Maintenance Support, Fleet Management Services and Depot Stores. This role requires professionalism, initiative, and excellent time management, with the ability to juggle competing priorities and always maintain confidentiality.
What your day will look like
Providing confidential and proactive administrative support to the Manager
Managing appointments, correspondence, filing systems and meeting coordination
Assisting in the preparation of reports, budgets and internal communications
Coordinating invoices and purchase orders for the department
Supporting the Manager’s team by assisting with enquiries and workflow scheduling
Participating in small internal projects and ongoing improvement initiatives
What you will bring
Administration qualification at Certificate IV level or above with relevant experience, or lesser formal qualifications with extensive administration experience
Advanced skills in Microsoft Office (Word, Outlook, Excel), with the ability to type 65+ words per minute accurately
Good working knowledge of PowerPoint and general business IT platforms
Excellent communication skills, both verbal and written
Demonstrated ability to manage competing priorities and meet deadlines under pressure
Experience in local government or a similar complex environment (desirable)
Experience in construction, facilities management, project management, or similar environment (desirable)
Current Victorian Driver’s Licence (desirable)
