About the OPPORTUNITY

We currently have an exciting opportunity to join us as a Project Administrator within our Aircraft, Training and Sustainment line of business with our team based at Williamtown NSW. Reporting to the Senior Estates and Facilities Lead, this role is responsible for supporting the daily operations of the office along with working closely with the operations teams to ensure the office runs efficiently, and to build a sense of community within the office.

We embrace flexible work arrangements at BAE Systems Australia such as a 9-day fortnight and hybrid working. This role will be based in our Williamtown Office in NSW.

Key responsibilities include:

  • Taking of clear and concise meeting minutes and records of actions
  • Follow up of actions to ensure close out
  • Correspondence administration
  • Local point of contact for external and internal stakeholders
  • Identify opportunities for process and office management improvements/ design and implement new systems
  • Provide administrative support to direct team with regards to travel bookings, expense acquittals support and any other general ad-hoc tasks as they arise
  • Maintain the primary meetings/ reporting calendar and arrangements for team
  • Distribution of communications to the site
  • Ad-hoc tasks as required

About YOU

  • Previous experience in a similar role
  • Excellent communication skills required, both written and verbal
  • Exceptional attention to detail
  • Strong organisational and time management skills with the ability to effectively prioritise
  • A proactive and can do approach
  • Team orientated with the ability to work with a variety of people
  • Organisational and problem-solving skills
  • Previous experience with minute taking
  • Ability to interact effectively with colleagues within and outside the immediate team, to implement office requirements
  • Intermediate skills in Word, PowerPoint and Excel
  • Eligibility for a Negative Vetting Level 1 Defence security clearance
