We’re seeking a Reception & HR Assistant to be the face of our Head Office and provide key support to our team and retail network.
This is a varied role that will suit someone who enjoys working with people and takes pride in maintaining an efficient and welcoming workplace.
Key Responsibilities: Reception & Office Administration
- Provide professional front-of-house service, covering reception from 8:30am–5:00pm, Monday to Friday.
- Answer and direct calls in a timely, courteous manner.
- Greet and assist visitors and manage incoming mail and deliveries.
- Maintain a tidy and functional office environment, including boardrooms, kitchens, and communal areas.
- Manage Head Office supplies and coordinate courier services.
- Support meeting and event coordination, including setting up boardrooms and arranging refreshments.
- Collate and distribute weekly and monthly reports to internal stakeholders.
- Distribute store budget books and coordinate seasonal stationery requirements.
- Create and distribute the Nine West Retail monthly newsletter.
- Assist with preparation of weekly mailbags to retail teams.
- Provide admin support across departments and to the Director as needed.
- Assist the National HR Manager with retail recruitment.
- Support onboarding employees.
- Maintain attendance records and distribute daily attendance emails.
- Manage offboarding processes.
- Assist with visa checking and compliance.
- Respond to store queries and emails in a timely, professional manner
- Help organise monthly incentives and store certificates.
- Previous experience in retail, reception, or administration is ideal but not necessary.
- Exceptional organisational skills and attention to detail.
- Strong written and verbal communication.
- Friendly, approachable, and professional manner.
- Ability to multitask and manage competing priorities.
- Proficient in Microsoft Office Suite.
