About the Role:
As our new Admin Assistant, you’ll play a key role in keeping Paint Group running smoothly. This is a varied and hands on position where no two days are quite the same! Your main responsibilities will include:
- Scheduling jobs: Coordinating our painters’ schedules, liaising with clients, and ensuring projects run on time
- Customer & sales enquiries: Being the first point of contact for new and existing customers via phone, email, and web enquiries
- Data entry & admin: Keeping our project management and quoting systems up to date (we use Paint Scout and Airtable)
- Sales & operations support: Assisting with quoting, following up on leads, and supporting our sales team
- General office duties: Helping with the day to day running of the business think ordering supplies, managing database, and keeping things organised
Who We’re Looking For:
- You have a background in property management/ trades admin, or a similar fast-paced, client-focused environment
- You’re a natural communicator who enjoys helping people and building relationships
- You’re highly organised, detail-oriented, and thrive on keeping things running smoothly
- You’re confident juggling multiple priorities and can stay calm under pressure
- You’re genuinely motivated to deliver great service to our clients
- You’re comfortable with technology and happy to learn new systems
- Knowledge of Melbourne suburbs is a big plus!
What Might Your Day Look Like?
- Taking a call from a property manager to schedule urgent painting repairs
- Entering new job details and updating the team on project timelines
- Following up with a business client after a site visit to confirm next steps
- Assisting the sales team by preparing quotes or booking in client meetings
- Organising supplies for a team working on a heritage restoration in Hawthorn
- Visiting a commercial client on-site with our sales lead to help scope a new project
The Offer:
- Permanent part-time: 24 hours per week
- $35 per hour
- Flexible schedule: 3 x 8 hour days or 4 x 6 hour days
- Hybrid work: After training, you can split your time between our Oakleigh office and working from home.
- Growth: As we continue to expand, there may be opportunities for more hours and increased responsibility
