Northern Health are seeking applications from motivated and suitably experienced Administration Assistant to join the Advance Care Planning Program Team.

Northern Health is the major provider of acute, maternity, sub-acute, mental health, specialist, community and home-based services in Melbourne’s rapidly growing outer north.

Services are provided through our five main campuses:

Northern Hospital Epping, Broadmeadows Hospital, Bundoora Centre, Craigieburn Centre, and Kilmore District Hospital. In addition, Mental Health Services are provided at Epping, Broadmeadows, Jacana, Preston, Mill Park and Coburg.

About the Role:

An exciting opportunity exists for an enthusiastic Administration Assistant to join the Advance Care Planning Program Team at Northern Health.

The Administration Assistant is required to provide high level administrative support to the Advance Care Planning Program team. The role encompasses effective coordination of the day-to-day administration of teh Advance Care Planning Program, including assisting in minuting committee meetings, and determining work priorities in collaboration with teh Advance Care Planning Team. This requires exercising self-direction and flexibility.

The Administration Assistant will work collaboaratively within the Advance Care Planning Team to support office coverage in periods of planned adn unplanned leave.

The position is Permanent Part Time and does not include weekends or public holidays.

The position is responsible for:

  • Utilising relevant software programs including CPF, iPM, Microsoft Office Suite (in particular, Excel)
  • Manage and facilitate accurate and timely communications with key stakeholders (internal and external). Provide meeting secretariat support This includes: collation of, and distribution of, meeting agenda and papers; coordination of presentations; and minuting of the meetings.
  • Support in the production and management of reports, submissions, marketing material, newsletters, workshops and information displays.
  • Assist with literature searches to gather relevant information for reports when required.
  • Liaise with internal and external stakeholders in the preparation of education, training, workshops, groups, community and other similar events including ensuring any ACP-related training is accredited as per ACP program requirements.
  • General administrative duties and responsibilities, as delegated by the Program Manager.

This Position is based at the Bundoora Campus; however, staff may be required to travel and work across various campuses, programs and partner organisations.

To be successful in this role you will have:

  • Courteous and friendly customer focused communication and engagement
  • Demonstrated ability to work independently as well as collaboratively as part of a team to provide accurate, timely and responsive administration support.
  • Well-developed experience in an administration role, preferably in the healthcare setting.
  • Motivation, flexibility and adaptability.
