Supacat is an innovative engineering company operating primarily in Defence sector with a growing footprint in other industries. Our core business is ultra-high mobility, wheeled vehicles and we are the Original Equipment Manufacturer (OEM) of a range of vehicles from 450kg to 12 GVM which are currently in service with the Australian and NZ Army. We also apply our skills to other areas, such as working with Defence primes on large programs and consulting into the automotive industry.
About You
We are looking for an enthusiastic and motivated Business Administrator to join our team in Melbourne. You should have excellent communication skills, are self-motivated, a problem solver, can multitask and thrive in a busy working environment. You will be confident in administration tasks and enjoy working with people in a professional environment and can appreciate the value that completing ad-hoc administration tasks provides within a business.
About the Role
The day-to-day element of the role is to provide administration support across the business. Activities within this role will include support to the managers, and Heads of Business Streams. Other tasks include general office administration, support facility management, security management and provide support to the HR and Finance teams.
This is an essential and dynamic role that ensures the overall efficient functioning of Supacat facilities and administration.
Work flexibility - this role offers flexible working arrangements to suit your lifestyle:
- Fulltime - traditional fulltime schedule.
- Part - Time option 1: 4 days per week, 30 hours total.
- Part -Time option 2: 5 days per week, 30 hours total.
Role and responsibilities:
· General office/ facility administration for all sites, including but not limited to greeting all visitors, diary management, management of meeting rooms, handling queries via phone, email and general correspondence and referring if necessary.
· Comprehensive support to the National Maintenance Manager and the Leadership Team with administration tasks as required.
· Maintain and update physical and digital filing systems, ensuring ease of document retrieval.
· Oversee travel managements ensuring they are in line with company policy.
· Provide administration support to the Delivery Business Stream as directed by the Head of delivery.
· Assist/ support event coordination, both internally and externally when required.
· Managing office supplies such as stationary, equipment and furniture for all sites
· Assist in WHS committee activities and compliance monitoring.
· Coordinate internal communications and company announcements.
· Monitor facility maintenance and liaise with service providers as needed (cleaner, coffee machine, photocopier)
· Maintain and account for overhead budget, including expense tracking and reporting for Finance.
· Assist the HR team with staff on-boarding and termination and admin processes.
· Always ensure a professional and clean environment.
· Perform other tasks as directed by authorised personnel.
Job Type: Full-time
Pay: $80,000.00 – $85,000.00 per year
