In every studio, our dynamic Business Support teams build, maintain and improve the foundations that allow us to keep collaborating with our clients, partners – and each other. With talented team members integrated across the business, the team keeps Hassell running smoothly through administration, document control, graphics production, facilities and operations, business development, and process management.
About the role
As a Business Coordinator, you’ll be a vital member of the Business Support team helping to keep things running smoothly and efficiently. This is a dynamic and varied role where no two days are the same. You’ll work across all parts of the business, supporting our people, projects, and leaders while playing a key role in studio operations, business development, and event coordination.
The Business Coordinator is a diverse role, and as such offers the opportunity for the individual to play to their strengths. They can focus their efforts where they can have the greatest impact, while still providing general support across the business.
Key Responsibilities:
- Provide administrative assistance to multiple members of the leadership team as required, including calendar assistance, travel coordination, meeting setup, timesheets, and expense claims.
- Support administrative tasks such as document production, contract preparation for signing, meeting coordination, and travel coordination.
- Assist with document production for marketing and business development.
- Provide ad-hoc reception cover, including greeting clients and other guests to the studio, preparing meeting areas for client meetings with catering/coffee, and assisting with event coordination.
Qualifications
We’re looking for someone who is experienced and thrives in a creative environment and who has a ‘can-do’ attitude to tasks and responsibilities. The following skills and experience would be required:
- Prior administrative experience & previous executive/personal assistant experience (advantageous)
- Enthusiastic team player and collaborator
- Strong verbal and written communication skills
- High level of accuracy and attention to detail
- Ability in Microsoft Office suite (Outlook, Word, Excel, PowerPoint,) and an aptitude for learning new technology
- Competency with Adobe Suite package (particularly InDesign)
- Proven graphic/layout skills
- Strong skills in document production: letters, reports, charts, spreadsheets etc
- Previous experience producing submissions/bids for tender (advantageous)
- Knowledge of design and creative industries with design qualifications or employment history (advantageous)
