About the role
An exciting opportunity exists to join our Head Office team at United Physiotherapy Group (UPG) as a Client Intake Administrator.
We are seeking an outgoing and organised individual to join our administrative team as Client Intake Administrator. In this role, you will be involved in coordinating the intake of new clients, managing client referrals, and supporting smooth communication and service coordination between clients, Physios, and administrative staff.

Responsibilities and Duties:
Reporting to the Office Manager and Community Services Regional Manager
New Client Intake, Onboarding, and Allocation:
- Conduct initial screenings of incoming referrals to assess client needs, eligibility, and urgency of services required
- Initiate client entry into systems and processes, including billing and client management systems, ensuring accurate records and information maintenance
- Provide expert customer service and referral management by answering telephone calls and emails
- Liaise with clients and/or their representatives in a timely manner to provide information, schedule bookings, and fulfil any ad hoc requirements or requests
- Monitor and track intake processes and metrics to identify areas for improvement and ensure compliance with organisational policies and regulatory requirements
- Support our Community Services Physiotherapy team by assisting with booking, scheduling, and client management as required
- Act as an advocate for United Physiotherapy Group in promoting our services
- Perform other general administrative tasks as required.
Invoicing and Payment:
- Generate and send invoices and process payments.
Quality Improvement and Administrative Support:
- Participate in quality improvement, risk reduction activities, and work health and safety initiatives.
- Support other administrative functions, including reception at Head Office in South Yarra & Clinics.
- Assist with administration tasks and provide support for the physiotherapy team
Business Development and Event Support:
- ·Support the Community Services Team with business development initiatives.
- Provide support during staff events and seminars, which may require travel to and from locations in Metropolitan Melbourne
Qualifications and Skills
- Experience in administrative roles within the healthcare or allied health sector, especially in intake administration or client services.
- Excellent customer service skills and ability to build rapport with customers/clients, and a person-centred approach
- Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities effectively.
- Ability to work independently and collaboratively in a fast-paced environment.
- Strong social, interpersonal and communication skills and ability to work in a team.
- Team player, creating a supportive working environment.
- Confidence with using Google Suite of Applications, Word, Excel, Powerpoint etc
- Attention to detail
- Strong initiative and good problem problem-solving skills.
- Experience with complaint management and resolution
- Appropriate working visas - no visa restrictions
- A National Police Certificate
- NDIS Check/Working with Children Check (or willingness to obtain)
