Opportunity for a talented executive assistant to support the Head of School of Pharmacy
Full time fixed term contract until December 2025
Base Salary starting from $ 99,455 + 17% superannuation
About the opportunity
The Sydney Pharmacy School has a great opportunity for an Executive Assistant ( HEO 6) to the Head of School and Dean to provide the full suite of professional executive support services in a timely and effective manner, ensuring the specific needs and day to day requirements of the office are managed in highly efficient and effective manner. As the first point of contact representing the Head of School, this role requires extensive administrative and organizational skills in order to manage a high volume of activity as well as client service skills, tact and diplomacy. Key to the success of the incumbent is their ability to manage and prioritise matters brought to the Head of School and to provide excellent administrative support to academic and professional staff and students.
Possible secondment opportunity for internal staff members.
Your key responsibilities will be to:
Provide broad, high level professional executive support to the Head of School and effectively manage the general day to day office operations and administration activity
builds and manages effective working rapport with key stakeholders and staff across the University
provide project office support for delivery of school projects
provides school-specific administration services and support
facilitate ongoing communication with a broad range of stakeholders, proactively addressing any concerns, and collaborating with team members to continuously improve stakeholder relations
manages the general day to day and administration activities for the Head of School ensures quality application of, and compliance with, University administration policies and procedures.
About you :
Demonstrates experience with diary management and front-line interaction with visitors
relevant bachelor's degree
Excellent time management skills, including the ability to prioritise workload to meet multiple deadlines and maintain attention to detail in a high-volume environment
excellent verbal and written communication skills, with experience in handling a wide range of enquiries and providing excellent customer service
demonstrates a proactive and positive approach to problem solving and process improvement
possesses excellent skills in the Microsoft suite of products
demonstrates experience with project or event coordination.
