About the role
In this versatile role, you will manage executive administration, client communications, and digital content support. You will coordinate schedules, travel, and program logistics while also assisting with social media updates and live launch activities. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities with professionalism.

Responsibilities
Admin & Operations - (70%)
Manage executive email, calendars, bookings, and client communications.
Coordinate coaching programs, events, and travel logistics.
Maintain task tracking and project management dashboards (Monday.com or similar).
Handle client onboarding forms, communication, and internal automations
Liaise with clients to ensure timely responses and excellent service
Proofread, research, and prepare reports or briefing documents.
Assist with invoicing and liaise with the bookkeeper.
Content, Social Media, & Digital Support - (30%)
Coordinate social media scheduling and platform updates.
Manage and update content on Kajabi or similar platforms.
Support newsletters, course material, and program content uploads.
Design simple documents and presentations using Canva or Google Slides.
Assist with live launch logistics and repurpose content as needed.
SOFTWARE SKILLS
Ideally, you’ll have experience with:
Monday.com, ClickUp or Asana.
Kajabi or similar platforms (WordPress, Squarespace, Wix);
Google Workspace
Canva, Zoom, Slack, WhatsApp, Loom

At least 4+ years of experience as an Executive Assistant & Social Media VA working online directly for US, Australian, or European clients. No BPOs applications, please.
Confidence with project management tools and you’re familiar with automations.
Strong communication, time management, and attention to detail.
Exceptional English written and verbal communication skills with the ability to liaise well with key stakeholders.
Experience with social media management, Canva and/or other design programs.
Exceptional organisational, multitasking, and time management skills.
A proactive attitude and the ability to manage multiple tasks independently.
