The Fleet Operations Assistant is employed to work closely with the Fleet Manager, and assist with the management of Australia Zoo and Wildlife Warrior’s fleet vehicles (including cars, trucks, buggies, quad bikes, boats, scooters and trailers). They will liaise closely with Executive Team Management and Senior Management regarding operational needs and asset management.
This candidate is responsible for providing daily support and assistance to Fleet operations. This includes but is not limited to handling administration, bookings, assisting with vehicle dropoffs/collections, ensuring regular maintenance, coordinating and conducting repairs, managing registrations and renewals.
Duties Include but are not limited to:
- Assist the Fleet Manager with the administration and maintenance of all Fleet vehicles owned by Australia Zoo Group (including but not limited to cars, trucks, buggies, quad bikes, boats, scooters and trailers).
- Assist with all Fleet administrative requirements, ensuring thorough records are kept and maintained.
- Entering data into Vehicle Manager, and recording information on the Fleet server.
- Assist the Fleet Manager with physical tasks when required.
- Complete vehicle drop offs and pickups when required.
- Assist with managing the schedule for vehicle and buggy servicing to ensure operational requirements are consistently met across the Zoo.
- Organise vehicle repairs and minor servicing, liaise closely with the technicians on the required works and schedule, handle the associated quotes, invoicing and reporting.
- Communicate closely with relevant Zoo HODs/supervisors regarding their vehicle use, upcoming service requirements, weekly reporting, repair requirements etc.
- Coordinate maintenance and repairs for other mechanical equipment where required (mowers, chainsaws etc.).
- Maintain the Fleet office, shed and storage of servicing equipment and spare parts.
- Assist with the provision of written weekly reports to Senior Management, and regular reporting during the week relating to the status of various jobs.
- Assisting with other duties as directed by Senior Management and Executive Team Management
Essential Criteria:
- Full availability, including weekends, public holidays and school holidays.
- Great interpersonal communication skills and customer service.
- Well-developed organisational skills and the ability to handle multiple tasks at a time.
- High level of confidentiality and discretion.
- Manual Drivers License.
- Highly proficient with reporting & documenting and general administrative work.
