What You Can Expect
As the Medical Events Coordinator based out of our Belrose office you will be responsible for the coordination of medical education events for Zimmer Biomet across Australia and New Zealand including compliance, travel booking, expenses and event logistics.
This role represents an exciting opportunity for an experienced Events coordinator to make a real difference to the medical industry.
How You'll Create Impact
Compliance
- Prepare and submit all compliance documentation in accordance with Global Policies and Procedures.
- Enter, administer and maintain all relevant information for ZBI ANZ events in the nominated compliance system (eg Medispend) including Needs Assessment, HCE Qualification, Contracts, Engagements, HCE Activity and Payments.
- Act as the central point of contact for regional and global compliance staff in relation to ZBI ANZ activities.
- Compile compliance documentation and data in accordance with audit and reporting requirements both internal and external (eg MTAA).
Expenses
- Administer and maintain all departmental expenses relating to ZBI ANZ events, in particular HCP expenses, in accordance with approved budgets and Global Policies and Procedures.
- Process all departmental expenses relating to ZBI ANZ events in accordance with compliance and finance systems (eg Concur) and processes.
- Reconcile monthly expenses and accruals.
Travel and Event Logistics
- Assist with the organisation and execution of all ZBI ANZ events.
- Responsible for coordinating participation logistics at approved S2S visitations, opportunistic visitations and attendance of ANZ surgeons at inter-regional events.
- Act as the central point of contact for external suppliers associated with ZBI events including travel and/or event management providers, venues, catering and/or hospitality suppliers, AV vendors etc where applicable.
- Responsible for coordinating travel bookings and associated event logistics to support approved ZBI ANZ events.
- Coordinate and administer the registration process for ZBI ANZ events, including event software (eg CVENT), event information on ZBI.com.au; including maintaining and updating all content on the website, developing promotional materials, tracking participation, liaising with Sales and Marketing staff, preparing associated reports etc.
- Responsible for coordinating HCP travel arrangements (faculty and participants) associated with ZBI ANZ events with travel and venue providers to ensure faculty and participants travel requirements are booked in accordance with company policies and procedures.
- Maintain associated records and documentation in accordance with Global Policies and Procedures.

Travel Expectations
- 20% to support the planning and execution of ZBI ANZ events on-site as required.
