The opportunity
Vacenti is seeking a Full-time Office Manager to join the Administration Team at our Portofino facility, located at Hamilton, QLD. This role will be responsible for overseeing the effective management of the Facility’s administration function, workforce scheduling, quality assurance processes, and inventory management. This position will play a key role in ensuring smooth operational performance by coordinating staffing and ensuring the availability of necessary supplies and equipment.
The Office Manager will work closely with the Facility Manager to align quality, inventory and workforce strategies with operational needs and regulatory requirements while maintaining a high level of operational efficiency.
Your main responsibilities will include, but are not limited to:
- Provide guidance to the Roster Officer for the development, management, and optimization of staff rosters to ensure the facility is always appropriately staffed while staying within budget.
- Monitor attendance, shift changes, leave requests, roster cost and trends, and ensure the staffing needs of each department are met efficiently.
- Actively engage with direct report while providing leadership, coaching and mentoring, and ensuring the completing of appraisals and feedback for continuous improvement.
- Distribute and follow up ionMy audits, summarise and present key areas to Facility Manager.
- Maintain PCI and Self-Assessment with Facility Manager.
- Maintain feedback, hazards, and staff incident registers.
- Monitor all rostering practices and ensure that they are compliant with relevant industrial instruments or legislation, including staff qualifications, workplace health and safety, and aged care standards.
- Conduct regular audits on workforce, quality, and inventory, and present key findings to the Facility Manager.
- Oversee all stock audits and manage inventory levels to prevent overstocking or understocking of various materials or equipment.
To be successful in this position you will need:
Essential
- Minimum certificate IV in Business Administration or similar qualification.
- Good knowledge of industrial instruments and how they are applied.
- Good knowledge of inventory management processes.
- Proven work experience as an Office Manager, Office supervisor, Administration Manager or similar
- Highly developed communication skills (written and verbal) and effective interpersonal skills in a busy environment.
- Excellent customer service and social skills, able to operate with diplomacy, tact and empathy.
- A high degree of personal organisation and self-management.
Preferred
- Experience in a similar role within the Aged Care industry.
- Up to date COVID-19 Vaccination
Pre-requisites
- Right to work in Australian.
- National Police Check
