Operational Contracts Coordinator

V/Line’s purpose is to connect Victorians through safe, reliable, and accessible transport. We believe in giving all Victorians opportunities through travel and transport – connecting them to jobs, education, family and friends, services, tourism and trade.

V/Line is experiencing significant growth and we’re delivering more services, more trains, cheaper fares, and huge projects. With more than 3700 weekly train and coach services, an expansive freight network and unprecedented rail investment, millions of Victorians depend on us to deliver. You could be one of our 2700 committed team members who are up to the challenge.

About the role

The Operational Contracts Coordinator plays a key role in supporting the Coach Services and Operations Contracts teams by assisting with reporting, identifying operational efficiencies, and working with Contract Managers to improve supplier performance and contract outcomes.

Reporting to the Manager, Coach Operations & Contracts, you will collaborate with Contract Managers, broader Operations teams, Finance, Legal, Procurement, and Suppliers to ensure effective contract management, compliance, and service delivery. Your work will support improved financial performance, strategic planning, stakeholder engagement, process improvement, and risk management.

Additional accountabilities include:

  • Supporting contract management through KPI monitoring, compliance, quality reviews, reporting, and supplier engagement.

  • Assisting with invoicing, spend analysis, cost reconciliation, and identifying operational efficiencies.

  • Maintaining effective governance processes, including document control and stakeholder communication.

  • Collaborating with suppliers and internal stakeholders, including conducting on-site supplier and station visits, to support contract requirements.

  • Contributing to continuous improvement initiatives such as quality review enhancements, uniform and facilities planning, contractor performance tracking, and process optimisation across cleaning and transport contracts and others as required.

About you

You’re someone who works well in a fast-moving environment and takes initiative to get things done. You’re comfortable working independently, can adapt when things shift, and know how to stay focused on the outcome.

You’re organised and able to juggle competing priorities. You’re comfortable working with data, have good attention to detail, and understand the importance of clear processes, compliance, and reporting.

Whether your background is in administration, operations, or contract support, you’re looking for a role where you can contribute, learn, and be part of a team making real improvements.

  • Strong communication and stakeholder engagement skills.

  • Confidence using Microsoft Excel, with the ability to apply a creative and solutions-focused approach to reporting.

  • An organised, analytical mindset with a focus on continuous improvement.

  • A practical understanding or interest in contract management and compliance processes.

  • Demonstrated alignment with V/Line’s values of responsiveness, integrity, impartiality, accountability, respect, leadership, and human rights.

If your skills or experience don’t exactly match our listed requirements, we still encourage you to apply. We value diverse perspectives and believe in the potential for growth and development.
