About the Role
We’re looking for a proactive and detail-oriented Operations Lead to join our Community Team. This is a key role focused on ensuring that The Commons space runs like a well-oiled machine, beautifully presented, fully operational, and always member-ready. The role has ownership over facilities, minor works, and day-to-day building operations. You will be the go-to person for all things related to maintenance, compliance, and contractors, keeping everything behind the scenes running smoothly so that our members can thrive. About You
You’re organised, solutions-focused, and not afraid to get stuck in. You take pride in presentation and thrive when juggling tasks like facilities coordination, contractor management, and WHS compliance. You’re just as comfortable communicating with a member at the front desk as you are briefing a tradesperson or updating an incident log. With excellent attention to detail and strong problem-solving skills, you care deeply about creating a space where everything just works and members feel the difference.
The main duties of the role include but are not limited to the below:
Key Responsibilities
Facilities & Operations Management
- Own the day-to-day operational readiness and cleanliness of the space.
- Conduct regular walkthroughs, identify and resolve maintenance or presentation issues.
- Coordinate minor works, repairs, and building upgrades.
- Liaise with and supervise external contractors and suppliers.
- Maintain building supply levels and manage stock ordering.
- Open and close the space and ensure all security procedures are followed.
Administration
- Manage the Virtual Office service including mail handling, forwarding, and communication.
- Maintain detailed and accurate administrative records.
- Action emails in the location inbox daily and support general admin duties.
Contractor & Vendor Management
- Be the primary point of contact for cleaning, utilities, trades, and building maintenance vendors.
- Schedule works, obtain quotes, and supervise services to ensure minimal disruption.
- Ensure contractor insurances, documentation, and safety protocols are up to date.
Member & Team Support
- Greet members and guests from the front desk with warmth and professionalism.
- Support onboarding and offboarding processes.
- Gather feedback from members regarding facilities and the space environment.
- Provide operational support for daily activities that contribute to member experience.
Work Health & Safety
- Conduct and log daily SafetyCulture walkthroughs to ensure a safe workspace.
- Proactively manage risks and respond quickly to incidents or issues.
- Communicate WHS practices to members and escalate when required.
Required Skills & Experience
- 2+ years’ experience in operations, facilities, administration, or building services.
- Exceptional attention to detail and organisational skills.
- Strong written and verbal communication.
- Comfortable with tech platforms like G-Suite and Slack.
- Experience liaising with contractors and managing maintenance tasks.
- Ability to multitask, prioritise, and work autonomously.
- A warm, professional manner and a love of creating great spaces for people.
