Portfolio Operations Coordinator – Healthcare / Pharma

A great opportunity exists for a Portfolio Operations Coordinator to support the execution of portfolio activities for Established Products in ANZ. This is a dynamic, cross-functional role where you will coordinate operational tasks, track project timelines, manage documentation, and support key healthcare initiatives.

Key Responsibilities
- Project Coordination: Support cross-functional teams and manage timelines, milestones, and deliverables.
- Portfolio Tracking & Reporting: Track product lifecycle actions (phase-out, SKU clean-up, transitions) and update internal systems.
- Operational Support: Schedule meetings, prepare agendas, track actions, and maintain project trackers.
- Data & Analytics: Collect and analyze portfolio data to support decision-making, reporting, and governance.
- Stakeholder Communication: Act as a liaison between Regulatory, Supply, Finance, and Commercial teams.
- Governance Support: Prepare materials for steering committees, governance boards, and portfolio reviews.
- Process Improvement: Contribute to streamlining processes and improving portfolio management tools.
About You
-
2+ years’ experience in project coordination, operations, or commercial support in pharma, healthcare, or a regulated industry
(OR Australian pharmacy experience with exposure to projects/data) - Strong skills in Excel, PowerPoint, and familiarity with project tracking tools (e.g., Smartsheet, MS Project)
- Experience with basic data analysis (sales trends, market share, reporting)
- Detailed-oriented, excellent organisation and time management skills, with the ability to manage multiple priorities
- Effective communicator and stakeholder manager, comfortable working across regulatory, commercial, and supply chain functions
Highly Regarded
- Experience with pharma operations, healthcare landscape (wholesalers, hospitals, or retail pharmacy)
- Familiarity with GxP, ICH-GCP, TGA regulations, or resource/portfolio planning tools
- Exposure to Power BI, or basic SQL for reporting and dashboards
