Holstep Health provides expert, compassionate, comprehensive local healthcare, throughout every stage of life. We provide more than 120 health and social care services to people in the north, north-west and north-east of metropolitan Melbourne, as well as statewide services with Carer Gateway and Gambler's Help.
Holstep Health was formed in October 2024, following the merger of Banyule Community Health and Merri Health. We proudly announced our new name - Holstep Health - created with and for our community, in February 2025.
Your new role:
The reception team plays an important role, being the first point of contact for the community when arriving at Holstep Health. Exemplary customer service skills are required in the performance of their duties to engage with clients, contractors, visitors, students and Holstep Health employees in an expedient and professional manner
You will be responsible for:
- Operate the main reception telephone system including incoming and outgoing calls in a prompt, courteous and professional manner as well as taking accurate messages when required
- Screen clients for appropriate referrals both internal, external and eligibility requirements
- Register new clients and update existing client demographics
- Communicate accurate messages and information to relevant staff
- Manage multiple client management systems simultaneously
- Ensure checklist tasks are completed and signed off daily
- Process and balance client service fees
- Manage appointments, including reminders and waitlists
- Ensure front of house reception desk and waiting area is kept tidy and at a professional standard
- Meet and greet all incoming visitors, ensuring visitors are registered and provided with the appropriate passes/access
- Provide a wide range of administrative support to the applicable program areas, including but not limited to filing, photocopying, printing, mail merges, correspondence, scanning, creating spreadsheets etc
- Ensure all hard copy and soft copy correspondence is distributed accordingly
- Order/stock management of site stationery, paper supplies, kitchen supplies, Myki cards, voucher/gift cards, Cab Charge and receipt books
- Ensure reception manual is up to date and processes followed accordingly
- Coordinate the processing of petty cash requests and undertake regular account reconciliations.
- Opening and closing of sites
- Ordering and maintaining needle syringe program equipment and stock
- Ensure services are delivered in a equitable and inclusive manner to diverse communities, including awareness of cultural sensitivities
- Ensure client confidentiality is respected and upheld at all times
- Other duties as directed by the Team Leader, Reception services following consultation with the relevant program areas
What you will need to succeed:
- Experience in reception work, preferable in the health industry
- Knowledge of Microsoft applications
- Knowledge in Client Management Systems
