• Annual base salary from $111,643 to $121,045 (HEW Level 7), plus 17% employer's superannuation and annual leave loading.• Full time, fixed term role until December 2026 at Macquarie University, Wallumattagal Campus, North Ryde

About the role
This fixed-term role offers a unique opportunity to support Macquarie University's digital transformation by facilitating innovation and ensuring seamless IT operations. You will work closely with the Chief Technology Officer (CTO) and their leadership team, contributing to strategic initiatives that align with the University's goals.
You will also provide critical operational support to the CTO and team, ensuring operational excellence through efficiently administration of the CTO function ensuring risks, issues and actions are proactively managed.
What will you do
Workflow Management & Coordination
Assist with managing the CTO’s calendar, scheduling meetings, and handling email correspondence to ensure efficient time management.Collaboration with IT Operations and Project Teams
Support Managers (Operations & Projects) in setting up, monitoring, and tracking project dashboards for performance analysis and progress reporting.Risk Identification & Resolution Support
Help identify project risks and issues, contributing to timely resolutions and ensuring alignment with strategic goals.Management Documentation
Draft and review management artefacts, ensuring timely and accurate status reporting for informed decision-making.Recruitment & Onboarding for Digital Transformation
Oversee staff recruitment, procurement, and onboarding activities for Digital Transformation, ensuring compliance with University policies.Executive Communication & Presentation Preparation
Prepare executive communications and presentations for steering committees, program boards, and other leadership meetings.Stakeholder Communication & Information Exchange
Engage with stakeholders to provide updates on project status and issues while facilitating the exchange of information across teams.Document Repository Management
Maintain a centralised document repository, ensuring that all project-related documents are organised and accessible for future reference.
About you

Selection Criteria
Tertiary qualification in a related field and/or equivalent knowledge, skills and experience with demonstrated commitment to ongoing professional development.
Understanding of operational, project management and risk management fundamentals.
Demonstrated experience in a similar role with a clear understanding of the overall requirements for coordination, integration of information in a complex and broad portfolio environment.
Experience in developing reports and dashboards and use of reporting tools to generate actionable insights and informed recommendations.
Strong analytical and numerical skills and attention to detail.
Excellent verbal and written communications skills with demonstrated ability in developing and maintaining relationships with a wide range of stakeholders.
Strong organisation and time management skills to prioritise and meet competing deadlines.
Developing presentations and drafting communications for executive reporting.
Proficient in use of MS Office Suite, project management, and online collaboration tools.
