About the job:

We are looking for a proactive and effective Team Administrator/Receptionist who will work in the Forvis Mazars Melbourne Audit team. Your responsibilities will include, but is not limited to:
  • Prepare and format proposals for potential and existing audit clients
  • Draft client-facing emails, engagement letters, and standard correspondence
  • Liaise with internal teams and external clients regarding document requests, deadlines, and follow-ups
  • Maintain client engagement documentation and schedules
  • Assist with planning and coordination of audit engagements (e.g. creating folders, checklists, job codes)
  • Attend weekly audit team meetings and keep managers informed of key updates
  • Undertake ad hoc tasks and reporting for Partners/Managers as needed
  • Coordinate onboarding of new clients and assist with setup in systems
  • Provide front desk support including greeting visitors, managing calls, maintaining meeting rooms, and handling mail and deliveries
About you:
  • At least 1-2 years administration experience.
  • Intermediate skills in Word, Excel, PowerPoint & Outlook functionality
  • Strong sense of customer focus (internal & external)
  • Excellent time management skills with the ability to multitask, prioritise and work autonomously
  • Excellent oral & written communication skills
  • Highly confidential & trustworthy
