The Tender & Proposal Coordinator serves as a pivotal contributor in the preparation and delivery of high-quality tenders, proposals, bids, and related documents (“proposals”). This role encompasses coordinating resources, managing schedules, and ensuring that all submissions align with corporate branding, marketing standards, and best practices. The coordinator actively engages with Proposal Managers, Subject Matter Experts, and internal stakeholders to compile, format, review, and produce professional documentation, while independently managing smaller proposals and renewals.Success in this position requires exceptional organisational skills, attention to detail, and the ability to work collaboratively across teams and time zones—including supporting projects in the Australia/New Zealand (ANZ) region, as well as in North America, Latin America, and potentially the UK. Strong written and verbal communication skills are essential, alongside the ability to interpret complex project requirements and evaluation criteria. Furthermore, the Tender & Proposal Coordinator must demonstrate a high degree of cultural awareness and sensitivity, especially in relation to indigenous communities and public sector engagement. This ensures that submission content not only meets compliance standards but also reflects respect, inclusivity, and an understanding of diverse client needs.
Essential Functions: Daily Duties
- Work with Proposal Managers, Subject Matter Experts, and other internal stakeholders to coordinate, develop, organise, and complete professional, high-quality proposals from initiation through to production and delivery of the final product.
- Review project opportunity documents to evaluate requirements, contractual terms and conditions, and evaluation criteria for bid submission compliance.
- Compile marketing materials, prepare qualification materials, and coordinate development of graphics and page layout design.
- Coordinate the flow of information to ensure internal and external deadlines are met and appropriate reviews are completed.
- Complete document formatting, editing, printing, distribution, and overall document reviews.
- Develop strong internal relationships to foster responses to requests in a timely manner, while maintaining high-quality work consistent with corporate marketing, brand messaging and writing standards.
- Work independently to prepare proposals for small deals (typically up to $50,000 annual contract value) and renewals in coordination with the internal stakeholders and contributors such as Solution Consultants, Sales, Renewals, and Contracts Team. Work with Proposal Managers on larger, more complex deals.
- Implement quality control measures to ensure requirements and corporate standards are met.
Essential Functions: Essential Skills
- Advanced skills in Microsoft Word and experience with large and complex document formatting techniques.
- Proficient with Microsoft Excel, Adobe Acrobat, Microsoft SharePoint, PowerPoint, and Salesforce or other sales CRM tools.
- Familiarity with tender portals/supplier portals such as VendorPanel and TenderLink.
- Familiarity with Proposal Automation tools such as Loopio is preferred.
- Strong business writing, editing, and communication skills.
- Excellent attention to detail and a high regard for accuracy and quality.
- Understanding of basic financial and legal terms and functions, along with experience working with budgets and schedules.
- Demonstrated cultural awareness and sensitivity, particularly in relation to indigenous communities and public sector engagement.
- Strong interpersonal, organisational, and time management skills with the ability to work successfully in a fast-paced environment with changing workload demands.
- Strong stakeholder engagement and collaboration skills, with the ability to navigate diverse teams and priorities.
- Comfortable working autonomously and remotely.
Experience/Credentials: Required
- 1-2 years of experience with government/public sector proposals (federal, state, local/council) and procurement processes.
- 1-2 years of strategic writing experience (including development of proposal templates, executive summaries, and technical/security specifications).
- 1-2 years of experience assessing, developing and managing proposals for small to medium opportunities (up to $50,000 annual contract value).
- Post-secondary education in Business, Communications, or a related field.
Experience/Credentials: Preferred
- Experience in a software or professional services industry.
- Certification in Proposal Management (e.g., APMP/Shipley) is highly valued.
- Familiarity or a willingness to learn about Work Health and Safety (WHS) Information, Anti-slavery and human trafficking laws, Workers Compensation legislation, and policies around indigenous peoples, diversity, and sustainability, which are critical in ANZ proposals.

- Career Progression: This role offers a pathway to advancement into roles such as Proposal Manager I or other roles in proposal operations and sales support, providing opportunities to take on increasingly complex proposals, lead cross-functional proposal teams, and contribute to strategic planning and execution. Candidates who demonstrate initiative, leadership, and a strong grasp of proposal strategy will be well-positioned for growth within the Granicus proposal management team.
