Responsibilities
- Coordinate all administrative aspects of tenders and proposals.
- Screen and select tenders aligned with strategic goals.
- Maintain templates, format bid materials, and manage a central document library.
- Ensure document control, versioning, and accurate filing systems.
- Distribute tender updates and maintain data for timely reporting.
- Maintain Project Master List and Timesheet/Sign-On records, including onboarding, role changes, and crew movements.
- Accurately enter and verify timesheet data; submit payroll files per schedule.
- Coordinate vendor pre-starts, weekly project reports, and other site documentation.
Skills & experience
- 3-5 years industry experience in a similar role
- Relevant qualification in appropriate discipline e.g. Cert IV in Business Administration, or equivalent demonstrated competency.
- Well-developed interpersonal and communication skills (written and verbal) with the ability to build positive working relationships at all levels.
- High level of proficiency and expertise using document management systems, Adobe and Microsoft Office Suite (SharePoint, Word and Excel in particular).
- Developed time management skills to effectively manage competing priorities and meeting deadlines.
- Strong leadership skills with the ability to effectively work both within a team and autonomously, be proactive and able to use initiative.
- Problem solving skills, high attention to detail and self-discipline.
