The Opportunity:

Our Perth office has an exciting opportunity for a Client & Office Services Coordinator/Team Administrator to join our team at Urbis! This unique role offers a 50/50 split between Office Services and Regional Director support.

Working closely with the Office Services Manager, you will be at the heart of delivering exceptional client-centric service to all stakeholders, including clients, employees, and suppliers. Your keen attention to detail, outstanding organisational skills, and excellent time management will ensure our office operates smoothly. You'll elevate the office environment, meeting the needs of clients and staff, and coordinating high-quality events that leave a lasting impression.

As Team Administrator, you'll be the go-to person for our senior team administrators, providing indispensable administrative support. This role requires you to be exceptionally organised, adept at managing conflicting priorities, and maintaining a calm, professional demeanour under pressure. Your ability to juggle multiple tasks with grace and efficiency will be key to your success.

You will:

  • Implement Urbis procedures and systems for effective local office operations.
  • Partner with the Office Services Manager and Senior Team Administrators to support day-to-day office requirements.
  • Deliver a nationally consistent and exceptional front-of-house experience, meeting and greeting staff and visitors.
  • Manage site access compliance, meeting room bookings, and event coordination.
  • Collaborate with the Regional Director and Brand & Clients team to deliver outstanding client events.
  • Maintain stock levels of office supplies and ensure facilities are well-kept.
  • Provide high-quality administrative support, including travel bookings, diary coordination, and expense reconciliation.
  • Assist with IT tasks, mail coordination, new employee onboarding, and support team meetings and marketing activities.

About you:

  • 3-5 years' experience in a similar role.
  • High School Completion Certificate - Senior Certificate.
  • Prior experience in airline, hospitality, hotelier concierge, corporate office, or co-working space.
  • Competent in Microsoft Office suite (Teams, Outlook, Word, Excel).
  • RSA / Food Safety Training highly recommended.
  • Certificate(s) in Hospitality.
