Job Description
We now have an opportunity for a Drawing Systems Controller to join our team. Based at our Refinery in Geelong, Victoria, you will be the administrator of the Engineering Drawing Management System (EDMS) across our Refinery, Supply Chain and Polymers businesses and the focal point for users of the EDMS, such as engineering, maintenance, tech and asset teams.
You will hold accountability of the EDMS and ensure that all technical documentation and records are accurately logged, managed and issued. It is imperative that each asset has an accurate database containing each revision of all documents/drawings and captures all necessary meta-data for each record.
You will champion the document management process and identify user competency gaps to ensure document compliance and overall health and integrity of the EDMS repository is maintained.
- Hold accountability of the EDMS and ensure that all asset technical documentation is accurately logged, managed and issued.
- First point of contact for end users regarding EDMS usage and process queries.
- Develop and maintain work area structures within the EDMS and document user authorities related to the EDMS.
- Coordinate for both internal and external audits of the EDMS systems and procedures.
- Hold others to account to complete assigned actions in a timely manner by bringing energy and urgency to important tasks such as as-building and document return.
Activities that may be completed or overseen include:
- Issuing and creating document and drawing numbers.
- Transmitting drawings between repository, projects and consultants, both internal/external.
- Managing the ‘as-building’ process to incorporate redline mark-ups returned from the asset areas.
- Developing procedures and workflows to improve drawing markup and as-building quality.
- Ensure timely return of drawings when removed or reserved for project activities.
- Managing the backlog of drawing revisions currently in progress.
- Developing drawings and xrefs.
- Checking and assurance of drawing templates.
- Reporting – Drawings being used/created by Projects / As-Building requirements / Management of Change (MOC) closeout.
- Enforcing drawing standards (plot styles, pen settings, title block, etc.) across all users.
- Provide controlled copies of critical drawings as they are updated to specific user groups.
Qualifications
About you
We are seeking a driven individual that can share their excellent working knowledge of EDMS and document control processes in an engineering or construction environment. We are looking for someone that has:
- Knowledge and experience using Lunr EDMS software is highly regarded.
- 5 years’ experience on a major engineering and construction project or in an engineering office.
- Demonstrable experience developing, maintaining & documenting workflows related to the EDMS.
- Ability to work autonomously with minimum supervision, be pro-active, goal and results focused with excellent attention to detail.
- Able to work and liaise with multiple teams, stakeholders and deal with strict deadlines.
- Excellent prioritisation skills as well as highly developed organisational skills.
- Sound working knowledge of drafting software such as AutoCAD.
- Sound knowledge of drafting principles and revision control.
- Sound knowledge of drawing lifecycle for both existing and new drawings.
- Ability to build relationships with project managers, process technologists and drafting technicians.
- Always be accountable for meeting your commitments and motivate others to do the same.
- Be curious, willing to continuously learn and experiment.
- Have a collaborative approach to change.
