At Gallagher, we’re looking for a proactive, detail-oriented professional to support our Executive Director and play a pivotal role in driving success at our Geelong Branch. Your Key Responsibilities:
  • Calendar Management: Take charge of a busy schedule, including travel times, meeting buffers, and preparation time for commitments
  • Email Coordination: Manage incoming emails, prioritise tasks, flag important items, and draft responses to ensure smooth communication
  • Stakeholder Engagement: Serve as the primary contact for internal and external stakeholders, maintaining open lines of communication and timely follow-ups
  • Meeting Coordination: Prepare and distribute agendas, meeting papers, and accurate minutes while ensuring follow-up actions are completed
  • Event Planning: Organise and budget for internal and external events, ensuring every detail is handled with precision
  • Travel & Expense Management: Coordinate travel bookings for the Executive Director and team, and reconcile expenses efficiently
  • Marketing Collaboration: Work closely with the marketing team to develop campaigns and social media content
  • Customer Interaction: Address customer inquiries, resolve issues, and escalate unresolved matters to the Executive Director
  • Reporting & Presentations:Produce thorough reports and presentations, ensuring deadlines are met with accuracy
  • Process Improvement:Maintain filing and database systems, identify opportunities for improvement, and support the implementation of solutions
  • Team & Client Events: Coordinate events that foster collaboration and engagement
  • Ad Hoc Support: Handle additional duties and requests as needed to ensure smooth operations
What You’ll Bring to the Role:
  • Exceptional interpersonal and communication skills with a keen eye for detail
  • Proven experience supporting Executive-level leaders
  • Advanced proficiency in Microsoft Suite (Excel, Word, PowerPoint, OneNote)
  • Strong time management and organisational skills to juggle competing priorities
  • Fast and accurate typing skills to keep operations moving efficiently
  • A collaborative mindset with the ability to multitask, problem-solve, and prioritise effectively
  • Professional discretion and the ability to handle sensitive information with confidentiality
