St Michael’s Parish Baulkham Hills Location: 1-3 Chapel Lane, Baulkham Hills, NSW Employment Type: Permanent Part-Time (Job Share) Classification Level: Clerks Private Award Level 3 Hours: 8:30 am – 4:30 pm.
About St Michael’s Parish: St Michael’s Catholic Church in Baulkham Hills is a vibrant and welcoming parish dedicated to serving its community. We are seeking highly organised individuals to join our team and contribute to creating an efficient and supportive environment for our clergy, staff, parishioners, and visitors.
The Opportunity: We are looking for two highly organised individuals to join our team as Receptionist/Admin Assistants. This role is structured as a part-time job share (both working 3 days each). As the first point of contact for visitors and callers, you will play a crucial role in supporting the Clergy and Office Manager, ensuring the smooth daily operation of the Parish office.
Responsibilities (Tasks)
- Manage all incoming phone calls and greet visitors at reception.
- Coordinate diary management for Meeting Rooms and Church bookings.
- Prepare materials for Weekday and Weekend Mass Services (Bulletin, Prayer Sheets, Daily Mass Sheet, Mass projection slides).
- Prepare Children’s Liturgy Materials.
- Handle reporting for Copyright.
- Manage all Rosters for Parish Ministries.
- Perform mail distribution and general administrative tasks, including filing and archiving.
- Process all bookings for Baptisms, Marriages, and Funerals.
- Input relevant data into the Padre program, including Parishioners Details and Registers.
- Assist with the Sacramental program: compile databases for children registering, perform all related data entry, prepare projection slides, and manage certificates and paperwork filing/archiving.
- Manage office supply inventory and purchasing.
- Report routine maintenance issues.
- Undertake other duties as assigned by the Office Administrator and Parish Priest.
- Some evening work will be required during Children’s Sacramental Programmes.
About you
Specifically, as the ideal candidate for this role, you will meet the following Key Requirements:
Essential
- Alignment with Catholic values.
- Excellent communication and interpersonal skills, both written and verbal.
- Strong organisational and time-management abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Publisher, and Access).
- Experience with phone systems and basic office equipment.
- Ability to work independently and as part of a team.
- A positive and professional attitude.
- Willingness to undertake some evening work during Children’s Sacramental Programmes.
- Willingness to be trained in the Padre program.
Desirable
Prior experience in a receptionist or administrative role.
