About the Role
Join our dedicated team at Shepparton Villages as a full-time Roster Coordinator, where you'll play a pivotal role in ensuring our residential aged care facilities run smoothly and efficiently. Working closely with executive and facility management, you'll develop, publish, and maintain staff rosters across all sites, balancing planned and unplanned leave, managing our casual workforce, and coordinating agency staff procurement during weekdays. You'll help build smart, responsive rosters that support both operational needs and staff wellbeing.

The position includes, but is not limited to:
- Lead rostering operations with a proactive, solutions-focused mindset, fostering collaboration across facilities and executive teams
- Develop master rosters aligned with care minute requirements, FTE allocations, budgets, and skill mix
- Ensure shifts are filled prior to publication to maintain continuity of care and operational efficiency
- Collaborate with Facility Managers and Executive leadership to match staffing to resident acuity and occupancy
- Roster staff in accordance with employment conditions, industrial agreements, fatigue guidelines, and policies
- Coordinate replacement of planned and unplanned leave with minimal disruption to services
- Maintain centralised control of agency staff procurement (Mon-Fri), with delegated weekend/public holiday authority
- Monitor and reconcile agency usage and invoices, aiming to reduce external reliance through proactive rostering
- Support onboarding by allocating shifts, contracted hours, and orienting new staff to the rostering system
- Work with system providers to optimise rostering platforms and integrate them into daily operations
- Deliver training and ongoing support on rostering policies, including induction presentations
- Assist with rollout and training for the Humanforce rostering app to ensure staff adoption
- Continuously review rostering practices for efficiency, compliance, and improvement opportunities
- Generate detailed reports on FTE, vacancies, agency use, sick leave, overtime, and coverage trends
- Perform additional duties as delegated, in line with rostering SOPs and organisational policies
- Previous experience in managing multiple rosters across a 24-hour service
- Knowledge in rostering according to acuity and occupancy
- Experience in negotiating the redeployment of staff across facilities
- Strong attention to detail, with sound analytical and problem-solving skills
- Demonstrated organisational skills, communication and interpersonal skills
- Strong interpersonal skills with ability to communicate effectively at all levels of the organisation
- Proven ability to work autonomously, manage own time and within a team environment
- Proficiency with the range of Microsoft Office Suite of products, with emphasis on Word, Outlook, Excel, and PowerPoint
- Strong teamwork and leadership abilities aligned with SRV's values.
- Previous experience in an Aged Care, Health or Community services
- Understanding of AN-ACC and care minute requirements in residential aged care
- Demonstrated experience in a similar position.
