WesTrac is seeking a motivated Part Time - Service Administrator to join WesTrac’s NEW HMS & Drill Services business unit.
Reporting to the Business Unit Manager - HMS and Drill Services, you will work as part of an administration team to deliver first-class administrative support to the team. Your duties will include handling purchase requisitions, overseeing the purchasing process and managing time capture reporting. Mobilisation of our technicians to and from sites aligned with their rosters. You'll also take charge of training requirements, oversee safety and contamination control audits, and foster positive relationships with customers and internal stakeholders.
Roster: 3 days on 4 days off, 8.5 hours (including unpaid meal breaks)
Location: Guildford, WA
What you’ll do:
- Administrative Support: Provide high-quality administrative assistance to the branch, ensuring smooth operations
- Purchasing & Time Capture Reporting: Handle purchase requisitions, oversee the purchasing process, and manage time capture reporting
- Mobilisation Coordination: Organise the mobilisation of technicians to and from mine sites, aligning with roster requirements
- Training & Compliance: Manage training requirements, oversee safety audits, contamination control procedures, and ensure compliance with WesTrac policies
- Payroll & Onboarding: Support payroll processes, coordinate onboarding for new staff, and ensure uniform requirements are met
- Stakeholder Engagement: Foster positive relationships with customers and internal stakeholders to enhance collaboration and efficiency
- Safety & General Administration: Maintain safety notice boards and support general service administration tasks
Skills and Experience:
- Strong administrative experience with excellent attention to detail
- Proven ability to handle purchase requisitions and time capture reporting
- Experience in mobilisation coordination or a similar logistical role
- Familiarity with payroll processes and onboarding procedures
- Adaptability to perform efficiently in different environments and with diverse tasks and people
