About the Role

The Events Coordinator is responsible for driving revenue through external event bookings while fostering The Commons community through the planning and execution of major internal events such as the Halloween Party. This role requires an ability to work with autonomy, manage multiple priorities, and maintain excellent communication and organisational skills. Flexible working hours, including evenings and weekends, are essential to the role.

The ideal candidate has strong event management skills, thrives in a fast-paced environment, and is passionate about community-building. You have a proven ability to manage external events, coordinate logistics, and provide excellent customer service. Your ability to collaborate with internal teams, manage supplier relationships, and oversee budgets will be key to your success. If you are proactive, adaptable, and detail-oriented, you will thrive in this role.


The main duties of the role include but are not limited to the below:


Key Responsibilities

External Events

  • Promote and manage external event bookings to drive revenue.
  • Monitor and update event package pricing based on market trends.
  • Conduct venue tours and adapt offerings to client needs.
  • Manage client expectations in alignment with event space features and capabilities.
  • Oversee the full sales process from lead follow-up to final execution.
  • Collaborate with the Marketing team to develop and refine event collateral.
  • Play an active role in event execution, ensuring seamless communication with the Community Team.
  • Coordinate setup, bump-in/out, and on-the-day event logistics, with a focus on AV and technical requirements.
  • Facilitate building access for events and provide post-event customer service support.

Supplier Relationships

  • Maintain strong relationships with third-party partners to ensure high-quality catering, AV, and entertainment.
  • Negotiate with vendors for favourable terms and value-for-money services.

Budget Management

  • Manage budgets for external events, ensuring cost-effectiveness and profitability.
  • Oversee internal event budgets (excluding Community events) for major functions like the Halloween Party and staff Christmas party.
  • Optimise financial outcomes through strategic negotiation and expense management.

General Support

  • Take a lead role in managing nominated internal events.
  • Partner with the Marketing team to host and execute key events.
  • Provide coverage across different locations as required by the State Manager.
  • Support the Community Team in planning and executing events.
